  • technical and usage information, such as IP address, browser or device information, website usage data, cookie identifiers and advertising interaction data where collected lawfully; and

  • records required for legal, regulatory, fraud-prevention, conflict-checking, accounting or business administration purposes.

We do not seek to collect special-category personal data or other sensitive information through LinkedIn Lead Gen Forms or routine marketing activity. Please do not submit such information unless it is genuinely necessary and we have asked you to provide it through an appropriate channel.

3. How we collect personal data

We may collect personal data:

  • directly from you when you contact us, instruct us, meet us, subscribe to communications or make an enquiry;

  • when you submit a LinkedIn Lead Gen Form or otherwise interact with our advertising or social media;

  • from our clients, prospective clients, landlords, tenants, occupiers, purchasers, vendors, investors, developers, agents, advisers and other professional contacts;

  • from publicly available sources such as company websites, Companies House, professional directories, property listings and professional social media profiles;

  • from commercial property, market or business information services and databases where their use for this purpose is lawful; and

  • automatically through our website and advertising technologies, where applicable and subject to any consent required by law.

Where we obtain personal data from another source, we will provide privacy information where required by law.

4. How and why we use personal data

We may use personal data to:

  • respond to enquiries and provide requested information;

  • provide commercial property agency, advisory, acquisition, disposal, leasing, consultancy and related services;

  • identify and introduce potentially relevant properties, occupiers, landlords, purchasers, vendors, investors, opportunities or professional contacts;

  • manage instructions, negotiations, transactions and ongoing business relationships;

  • assess interest in our services, properties or opportunities and follow up relevant enquiries;

  • send relevant business-to-business marketing and market communications where permitted by law;

  • administer and measure advertising campaigns, including campaigns on LinkedIn;

  • operate, secure, analyse and improve our website, services and communications;

  • maintain business records, prevent fraud, establish or defend legal claims, manage risk and comply with legal or regulatory obligations; and

  • protect our legitimate commercial interests and the security of our business.

5. Our lawful bases

We only process personal data where we have a lawful basis. Depending on the circumstances, this may be:

  • Legitimate interests: where processing is reasonably necessary for our legitimate business interests, or those of a third party, and those interests are not overridden by your rights. This may include managing B2B relationships, responding to business enquiries, identifying relevant commercial property opportunities, business development, appropriate B2B marketing, maintaining records, improving our services and protecting our business.

  • Contract: where processing is necessary to take steps at your request before entering into a contract or to perform a contract with you.

  • Consent: where you have given us valid consent, including for marketing or advertising technologies where consent is legally required. You may withdraw consent at any time.

  • Legal obligation: where processing is necessary for us to comply with a legal or regulatory requirement.

  • Legal claims or other applicable bases: where permitted or required by law.

Our use of legitimate interests does not override PECR or any other rule that requires consent. Where consent is legally required for electronic marketing or non-essential advertising technologies, we will seek it before relying on those activities.

6. LinkedIn advertising or simialr and Lead Gen Forms

We use, or may use, LinkedIn or similar to promote Northstar, our services and commercial property opportunities.

If you submit a LinkedIn Lead Gen Form connected with a Northstar advertisement, LinkedIn may provide us with the information you choose to submit, which may include your name, business contact details, job title, employer and your responses to form questions.

We may use that information to:

  • respond to your request or enquiry;

  • provide the information, property details or service you requested;

  • contact you about the subject of your enquiry;

  • assess whether our services or opportunities are relevant to you; and

  • where legally permitted, contact you about closely related Northstar services, properties, opportunities or market information.

Where a particular use requires consent, we will request that consent separately, including through an appropriate LinkedIn disclosure checkbox where applicable. You can withdraw consent at any time and you can object to direct marketing at any time.

LinkedIn processes personal data under its own terms and privacy policy. Northstar is responsible for its own subsequent use of personal data it receives from LinkedIn.

7. Direct marketing

Northstar operates primarily in a business-to-business commercial property market. We may contact business and professional contacts about services, properties, requirements, opportunities, events or market information that we reasonably believe may be relevant to their professional role, where permitted by law.

We may rely on legitimate interests for certain B2B marketing where lawful. Where PECR or other applicable law requires consent, we will obtain the required consent.

You have an absolute right to object to the use of your personal data for direct marketing at any time. You can opt out by using any unsubscribe mechanism provided or by emailing alex@northstarldn.com. We may retain limited suppression information so that we can honour your request and avoid contacting you again for marketing.

8. Cookies, analytics and advertising technologies

Our website may use cookies and similar technologies for essential functionality, analytics and advertising. We may also use advertising technologies supplied by platforms such as LinkedIn, including the LinkedIn Insight Tag, to measure advertising performance, understand website activity or create advertising audiences.

Where UK law requires consent for non-essential cookies or similar technologies, we will not use them unless and until the required consent has been obtained. You can change or withdraw your choices through our cookie controls where available.

Third-party platforms may process data they collect through their technologies under their own privacy terms. Further information about specific cookies and providers should be made available through our website cookie notice or consent tool where those technologies are deployed.

9. Sharing personal data

Where reasonably necessary for the purposes described above, we may share personal data with:

  • clients and prospective clients;

  • landlords, tenants, occupiers, purchasers, vendors, investors, developers and other parties to actual or potential commercial property transactions;

  • professional advisers and agents, including lawyers, accountants, surveyors, consultants and other property professionals;

  • suppliers who provide CRM, IT, website hosting, cloud storage, analytics, marketing, communications, administration or security services;

  • advertising and social media platforms, including LinkedIn, where we use their services and have a lawful basis to do so;

  • regulators, law-enforcement agencies, courts, public authorities or other parties where disclosure is required or permitted by law; and

  • a purchaser, investor, financier or adviser in connection with a proposed sale, acquisition, financing or reorganisation of all or part of our business, subject to appropriate confidentiality and data protection safeguards.

We require service providers acting on our behalf to protect personal data and use it only in accordance with our instructions and applicable law. Where another recipient determines its own purposes and means of processing, it will be responsible for its own compliance as a separate controller.

We do not sell personal data as a standalone commercial product.

10. International transfers

Some service providers or technology platforms we use may process personal data outside the United Kingdom. Where personal data is transferred internationally, we will take steps required by applicable law to ensure an appropriate level of protection, such as relying on UK adequacy regulations or approved contractual safeguards, together with any additional measures required in the circumstances.

You may contact us for further information about safeguards relevant to your personal data.

11. Data security

We use reasonable technical and organisational measures designed to protect personal data against accidental or unlawful loss, misuse, alteration, unauthorised access or disclosure. Access is restricted to people and service providers who need the information for legitimate business purposes and are subject to appropriate obligations.

No transmission or storage system can be guaranteed to be completely secure, and we cannot guarantee absolute security of information transmitted electronically.

12. How long we keep personal data

We retain personal data only for as long as reasonably necessary for the purpose for which it was collected, including to maintain appropriate business and transaction records and meet legal, accounting, tax, regulatory or dispute-resolution requirements.

Retention periods vary according to the type of information and our relationship with you. We periodically review information we hold and delete, anonymise or securely archive it when it is no longer required, subject to any legal or legitimate need to retain it. Marketing suppression records may be retained as necessary to ensure that an opt-out continues to be respected.

13. Your rights

Subject to applicable law and any relevant exemptions, you may have the right to:

  • request access to your personal data;

  • ask us to correct inaccurate or incomplete personal data;

  • ask us to erase your personal data;

  • ask us to restrict our use of your personal data;

  • object to processing based on legitimate interests;

  • object at any time to processing for direct marketing;

  • request transfer of certain personal data in a portable format;

  • withdraw consent at any time where processing is based on consent; and

  • complain to the Information Commissioner's Office (ICO).

To exercise your rights, contact alex@northstarldn.com. We may need to request information reasonably necessary to confirm your identity. The exercise of data protection rights is normally free of charge, although the law permits a reasonable fee or refusal in certain limited circumstances.

The ICO can be contacted through https://ico.org.uk/.

14. Third-party websites and platforms

Our website, marketing or communications may contain links to third-party websites or platforms. Those organisations control their own privacy practices, and we encourage you to read their privacy notices. We are not responsible for the content or privacy practices of independent third parties except to the extent required by law.

15. Changes to this policy

We may update this Privacy Policy from time to time to reflect changes to our services, advertising activities, technology or legal requirements. The current version will be published on our website and the date at the top will identify the latest update.
